Terms of Service

Arcana AI provides AI-based receptionist automation for clinics, including automatic message replies, booking, calendar sync, follow-ups, and CRM integration, according to the tier selected by the client clinic.

Subscriptions are month-to-month, starting from the activation date. Fees are billed in advance for each upcoming monthly cycle. Cancellation can be made any time via WhatsApp; billing stops on the next cycle. There are no cancellation fees and no minimum contract.

The multi-clinic discount (15% per clinic for two or more clinics) applies automatically once the second clinic is active, and continues for as long as the client runs multiple clinics.

The client clinic is responsible for:

• Providing accurate information about its services, pricing, opening hours, and clinic policies.
• Maintaining the security of access to its WhatsApp Business account and other connected channels.
• Ensuring compliance with applicable laws relating to patient marketing and communication.
• Providing reasonable supervision of AI replies, especially during the initial setup period.

Arcana commits to:

• Running the service with a target uptime of 99.5%, except for pre-notified scheduled maintenance.
• Responding to critical incidents within 30 minutes during business hours and within 2 hours outside business hours.
• Maintaining data security as described in the Privacy Policy.
• Providing at least 30 days notice before any material price change.

The service is provided on an "as-is" basis. While we work hard for accuracy, the AI may make mistakes. The client clinic is responsible for reviewing AI replies during setup and maintaining reasonable supervision afterward. Arcana is not liable for medical decisions made on the basis of AI conversations; the AI must not be used to give medical advice.

AI configurations, prompts, and clinic policies remain the property of the client clinic. The underlying codebase, models, and infrastructure remain the property of Arcana. When the subscription ends, the client clinic may export its configuration.

Either party may terminate the subscription any time via WhatsApp or email. After termination, clinic data is exported and deleted in accordance with the Privacy Policy.

These terms are governed by the laws of the Republic of Indonesia. Disputes are resolved through the District Court of Semarang.
